      ASCLS-ID SECRETARY POSITION DESCRIPTION

1. PURPOSE

    • Record and distribute minutes of ASCLS-Idaho minutes. Notify membership of meetings

2. TERM OF OFFICE

    • 1 year with no more than two successive terms

3. QUALIFICATIONS

    • ASCLS Professional or Emeritus membership
    • Recommended experience: Computer skills and previous involvement with committee or Board would be helpful

4. DUTIES

    • Provide a permanent record of Board and Business meetings
    • Notify members of Board Meetings
    • Distribute minutes
    • Notify President of excessive absences by a Board member
    • Other duties performed: Read minutes at the Business Meeting

5. EXPECTATIONS

    • Meeting Attendance: Attend all Board meetings with no more than two unexcused absences
    • Reports: Records minutes of each meeting and distributes to the Board
    • Deadlines: Minutes must be sent to members two weeks before a Board meeting, notification of meetings provided 30 days before
    • Avenge time commitment: Two to three hours per month
    • Travel: Board meetings and conventions
    • Financial considerations: Convention attendance

    • Mentors: Board members and previous office holders
    • Materials: Previous year’s files, stationary
    • Helpful Hints and Suggestions: Use e-mail, prepare minutes soon after Board meeting, and ask for reports from Board members
